BeanCounter Profile Settings & Data Backups

Make the workspace fit the way your roastery measures, prices and records coffee. Settings keeps your profile preferences, production defaults and backup tools together.

What you can do: Settings

  • Profile name, currency, inventory weight unit and low-stock percentage.
  • Retail and wholesale bag sizes in oz, g, lb or kg.
  • Starting labor, packaging, overhead and shipping costs for pricing.
  • Full profile backup and restore, plus links to Google-managed account security.

Google manages your sign-in email, password and account security. Restore replaces the profile’s saved data; back up current records first. Retail selling prices stay per bag when bag size changes, while wholesale prices remain per weight unit.

Quick tutorial: Settings

  1. Set profile preferences

Open Settings, enter your profile name, select the currency and inventory weight unit, and set the low-stock percentage. Save the preferences.

  2. Choose bag sizes

Select retail and wholesale bag sizes and their measurements. Decide whether to apply those sizes to existing pricing sheets before saving.

  3. Review production defaults

Enter the labor rate and reference-bag packaging, overhead and shipping costs. Use coffee-specific pricing inputs where different assumptions are needed.

  4. Back up your profile

Choose Download full profile backup regularly and keep a secure copy outside the website. To recover from a backup, review the selected file and confirm that you intend to replace the saved profile. Coffee purchase document guide.
