3. Google Sign-In and Google User Data
BeanCounter may offer authentication through Google Sign-In.
When you choose to sign in using Google, BeanCounter may receive basic account information authorized through the sign-in process, such as your name, email address, profile image, and a unique Google account identifier.
We use this information to:
- Authenticate your identity
- Create and maintain your BeanCounter account
- Associate your account with the appropriate workspace
- Support account security and functionality
We do not use information obtained through Google Sign-In to serve targeted advertisements or sell it to data brokers.
We do not access your Gmail messages, Google Drive documents, contacts, or calendars through basic Google Sign-In. Any future integration requiring additional Google permissions will require appropriate authorization and updated disclosures.
Google user data is used and shared only as described in this policy and in accordance with applicable Google API Services User Data Policies.

We do not use private workspace information for third-party advertising.
5. Storage and Service Providers
BeanCounter is hosted on Cloudflare Workers. Cloudflare processes web requests and may process technical information such as IP addresses and diagnostic logs to deliver and protect the Service.
Google provides sign-in. Supabase Auth manages BeanCounter sessions and account identifiers; BeanCounter does not receive or store your Google password. Session cookies are used to keep you signed in.
Workspace records, including inventory, roasts, blends, saved pricing, preferences, and document metadata, are stored in a Supabase PostgreSQL database and associated with your authenticated user ID. Database row-level security restricts ordinary user access to their own workspace. Uploaded document contents are stored separately in a private Supabase Storage bucket under user-specific paths, with authenticated access controls.
Cloudflare KV caches shared public information such as news, translations, exchange rates, and market data. Private workspace records and uploaded documents are not stored in that shared public cache. External news, translation, market, and exchange-rate services process requests needed to supply those features; supplier URLs submitted for import are fetched to read the requested product information.
PayPal processes optional donations when you choose the donation link or button. BeanCounter does not receive or store payment-card details through that donation form. PayPal handles payments under its own terms and privacy policy.
These providers process information as necessary to operate the Service and may process it in locations outside your country. We do not promise a particular storage region or retention period beyond arrangements actually in place. We may disclose information when legally required, to protect users and the Service, or during a lawful business transfer.
6. Data Ownership and Workspace Privacy
You retain ownership of the business information, inventory records, roast logs, documents, and other content that you submit to BeanCounter.
We use that information to provide the Service and do not claim ownership of your underlying business records.
Workspace information is intended to be accessible only to authorized users and service personnel where access is necessary for permitted operational purposes.
7. Data Security
BeanCounter uses encrypted HTTPS connections, verified sign-in sessions, database row-level security, and private document storage to help protect your information. These controls reduce risk but cannot guarantee confidentiality, availability, or protection from all errors, attacks, or accidental loss.
Data may be lost, corrupted, overwritten, or become inaccessible because of software errors, mistaken edits or deletions, failed saves, account-access problems, provider outages, or other incidents. Autosave and cloud storage are not independent backups, and recovery is not guaranteed.
We strongly recommend downloading a full profile backup from Settings → Profile backup & recovery regularly, after important changes, and before imports, restores, deletions, or major corrections. The full profile backup includes saved workspace records and successfully downloaded uploaded-document contents. Check that the export completes, keep original documents and a dated copy outside BeanCounter, and store backups securely because they contain your private information. PDF reports are summaries, not restorable full profile backups.
Infrastructure database backups, where available, do not necessarily include document contents stored separately in Storage. Do not rely on provider backups or assume BeanCounter can restore lost records. You are responsible for maintaining independent copies of important business records. This policy does not remove any rights or responsibilities that cannot lawfully be excluded.
8. Data Retention and Deletion
We retain account and workspace information for as long as necessary to provide BeanCounter, fulfill legitimate operational needs, and comply with applicable legal obligations.
You may request access to, correction of, or deletion of your personal information by contacting us using the information below.
When a deletion request is approved, we will delete or de-identify applicable information, except information that must be retained for legitimate legal, security, or operational reasons.
Residual copies may remain temporarily in backups according to applicable retention procedures.
9. Cookies and Similar Technologies
BeanCounter may use cookies, browser storage, and similar technologies needed to keep users signed in, maintain sessions, remember preferences, and secure the Service.
If we introduce optional analytics or advertising technologies, we will update this policy and provide additional choices or notices when legally required.
10. Third-Party Information and Links
BeanCounter may display information obtained from external providers, including coffee commodity market data, supplier resources, and news services.
We are not responsible for the privacy practices or content of third-party websites. Their own policies apply when you visit them.
11. Children's Privacy
BeanCounter is intended for business and professional use and is not directed toward children under 13.
We do not knowingly collect personal information from children under 13. If we learn that such information has been collected, we will take appropriate steps to delete it.
12. Your Privacy Rights
Depending on where you live, applicable privacy laws may provide rights to request access to, correction of, deletion of, or a copy of your personal information.
You may contact us to exercise applicable rights. We may need to verify your identity before fulfilling a request.
13. Changes to This Privacy Policy
We may update this Privacy Policy to reflect changes in BeanCounter's features, technology, legal requirements, or data practices.
We will update the effective date when changes are published and provide additional notice when required by law.
